Software shaped around the way you actually work
Off-the-shelf tools make your business bend around them. We do the opposite — bespoke systems, integrations and automation that fit your workflow like they were always there. Because they were built to be.
First, an honest question
Should you buy software — or build it?
Buy it if you can. Off-the-shelf software is cheaper to start, somebody else maintains it, and for most standard jobs — accounts, payroll, email — it's the right answer. We'll tell you when that's the case.
Bespoke earns its keep when the way you work is genuinely different, and forcing it into somebody else's product is costing you time, accuracy or customers.
Build bespoke when
- Nothing on the market fits — and every product you've trialled needs a workaround on day one.
- Five tools are doing one job — with people copying data between them.
- Your process is your advantage — and a generic product would flatten it.
- The data must stay in your hands — residency, retention and access you control.
- Integration is the whole problem — the systems exist; they just don't talk.
The Journey
From "there must be a better way" to "how did we cope before?"
Every bespoke build follows the same honest path. Here's yours.
We shadow your workflow, not your org chart
We sit with the people who actually do the work and map how a job really flows through your business — including the workarounds, the re-typing and the "don't ask" spreadsheet. That map becomes the blueprint.
- On-the-ground process mapping
- Pain points priced in hours lost
- Quick wins identified immediately
A system designed with your team, not at them
We design the new workflow together and prototype the screens your staff will use daily. The people who'll live in the system shape it — which is why our software actually gets used.
- Co-designed with your staff
- Clickable prototype first
- Change is cheap at this stage — we encourage it
"The first version already knew how we worked. Nobody needed a manual."
Built in slices you can use early
We ship the most valuable slice first — often within weeks — so you're saving time while the rest is still being built. Your existing tools stay: we integrate with your accounts package, calendars, email and phones rather than forcing a big-bang migration.
- Usable software in weeks
- Integrates with what you keep
- Your data migrated carefully
Adoption is part of the job
We train your team in plain English, run the old and new side-by-side until everyone's confident, and stay close through the first weeks. Software only counts when people use it — so we don't leave until they do.
- Hands-on team training
- Safe parallel running
- Plain-English documentation
Small improvements, forever
Your business will change; your software should keep up. We review usage together, automate the next bottleneck, and keep the system compounding value year after year.
- Ongoing support & monitoring
- Quarterly improvement reviews
- You own your system and data
How we work
Three frameworks holding the project up
One for how we engage, one for how the system is built, one for how it's delivered — the structure that keeps a bespoke project from becoming an open-ended one.
Engagement
A fixed-fee, time-boxed discovery puts a known price on the least-understood part of the project. Build then runs in fixed-scope phases, or capped sprints where the unknowns are genuinely open.
- Named product owner on both sides
- Weekly one-page status
- Risk and decision log in the open
- Change control before anyone commits
Architecture
Modular and API-first, built on the Digenixa Core: secure accounts, roles, audit trail, notifications and a staff console already proven, so your budget goes on what's unique to you.
- Standard-library Python and SQLite — few moving parts
- Every action logged and attributable
- UK hosting, encrypted, with backups
- Documented well enough to hand over
Delivery
Hybrid on purpose: discovery and design are planned up front, because you can't sprint your way to a data model. Build, test and release then run in two-week increments.
- Shared definition of done
- Sprint demo every two weeks
- Staging environment for user testing
- Hypercare after go-live, then support
The process
Seven phases, start to steady state
Durations are typical, not promises — scope, integrations and the state of what already exists move them more than anything else. Discovery gives you a version of this table with your own numbers in it.
| Phase | Focus | What you get | Typical |
|---|---|---|---|
| 1. Discovery & strategy | Interviews, process mapping, data audit, integration inventory, success measures | Requirements, process maps, prioritised backlog, roadmap, estimate | 2–4 weeks |
| 2. Solution design | Data model, workflows, roles and permissions, screens, integrations | Blueprint, data model, API contracts, clickable prototype, test strategy | 2–4 weeks |
| 3. Build & configure | Modules, automation, interface, reporting, notifications | Working software every two weeks, sprint notes, admin documentation | 6–16 weeks |
| 4. Integrate & migrate | Connecting existing systems; cleansing and rehearsing the data move | Integration map, migration scripts, validation reports, rollback plan | Overlaps build |
| 5. Test & UAT | Functional, security, performance and regression testing, then your people using it | Test summary, defect log, UAT sign-off, go/no-go | 2–4 weeks |
| 6. Deploy & train | Cutover, go-live, training by role | System in production, training materials, runbook | 1–2 weeks |
| 7. Hypercare & optimise | Close support, adoption tracking, planning the next phase | Hypercare report, KPI dashboard, roadmap | 4–8 weeks |
The state of your existing data is the usual surprise. If it's duplicated or spread across several systems, migration takes longer — and we'd rather tell you in week two than week twenty.
What we build
Systems that earn their keep
Job & workflow management
From enquiry to invoice in one system — scheduling, job sheets, sign-off and billing without the re-typing.
CRM & lead management
Every lead captured, followed up and reported on — tailored to your sales process, not a generic pipeline.
Integrations & APIs
Make your accounts package, website, suppliers and field tools finally talk to each other automatically.
Automation & reporting
The monthly report that took a day now writes itself. Alerts, reminders and documents on autopilot.
Quoting & pricing engines
Your estimating knowledge captured in software — consistent, fast and impossible to lose.
Legacy system rescue
That crucial-but-creaking system nobody dares touch? We modernise it safely, keeping your data intact.
Why Digenixa
The benefits you'll actually notice
- Hours back every week — we target the admin that costs you most, first.
- One source of truth — no more "which spreadsheet is right?"
- Keep what works — we integrate around your favourite tools instead of replacing them.
- You own it — your system, your data, your documentation. No lock-in.
Handover
What you actually walk away with
A project ends properly or it doesn't end at all. This is what "finished" means with us.
You receive
- The system live in production
- Source code and ownership of it
- Migration and validation evidence
- Integration documentation and credentials
- Admin and user guides
- Recorded training sessions
- Test results and UAT sign-off
- Runbook, support model and roadmap
How it's delivered
- An open backlog you can read
- A demo every two weeks, on real data
- A staging site for testing before go-live
- A written cutover plan, including rollback
- Hypercare in the weeks after launch
- Handover training, then optional support
How we measure it
- Adoption — is it genuinely used?
- Hours saved against the old way
- Errors and rework going down
- Data quality and completeness
- Reliability and response times
- Return against the agreed business case
Commercials
Priced so the risk sits with us
Every project is quoted individually — but the shape is always the same.
Discovery
Fixed fee, fixed length. You keep the requirements, process maps and costed roadmap whether or not we build.
Build
Fixed price per phase where scope is clear, capped time and materials where it genuinely isn't. You approve each phase first.
Support
A monthly retainer with agreed response times — hosting, updates, small changes and the next roadmap items.
Changes are normal — you'll learn things partway through that you couldn't have known at the start. Each one gets a short written note on cost, time and knock-on effects, and nothing starts until you approve it.
Straight answers
What clients ask before they commit
Can you extend what we already have?
Often, and it's frequently the cheaper route. If your current system has a usable API or database, we can build the missing pieces around it and leave the core alone.
What is it built on?
The Digenixa Core — standard-library Python with a SQLite database, UK-hosted with automatic HTTPS. Few third-party dependencies means less to patch and less to go wrong. The full detail is on our framework page.
What happens to our existing data?
It's audited early, cleansed, de-duplicated and migrated in rehearsal more than once, so go-live repeats something we've already done. You get a validation report and a rollback plan.
Who owns the code?
You do — code, data, documentation and credentials. Nothing is built to trap you.
How long before we see something real?
A clickable prototype during design, then working software every two weeks. You'll be using your own system long before it's finished.
What if we need to pause?
Phases are built as sensible stopping points. Each ends with something working, tested and documented, so a pause leaves you with usable software, not a half-built one.
