Build · Business Operating System
Your whole business, run from one screen
A custom operating system for your business: today's numbers, what needs you, a morning brief and evening summary against your goals, a team of AI agents doing the legwork, and one queue where you approve anything before it goes out.
First, an honest question
Do you need an operating system?
Not if one tool already runs your business well. If your CRM or job software does the job, we'd rather connect to it than replace it.
An operating system earns its place when the business lives in your head, your inbox and five different apps, and you are the only thing joining them up.
A business OS is right when
- You're the bottleneck: everything waits for you to remember, decide or chase.
- The picture is scattered across spreadsheets, WhatsApp, email and notebooks.
- The same decisions repeat every week, and could follow your own rules.
- You want to grow without hiring a team to do admin first.
- You want AI working for you, but on your terms, with nothing sent without your say-so.
The Journey
From "it's all in my head" to a business that runs itself to your rules
We build the system around how you already work, then add the intelligence a piece at a time.
We map the business you actually run
Where enquiries arrive, what you check every morning, which decisions you make again and again, and the house rules you never wrote down. That becomes the blueprint for your operating system.
- Your goals and the numbers that show them
- Your house rules, written down
- The tools you already use, kept where they work
An OS home that tells you what needs you
Today's numbers against your goals, what's waiting for a decision, what the agents did overnight, and what's coming up. You start the day with the picture, not a hunt for it.
- Goals and live numbers side by side
- A "needs you" list in priority order
- Works on your phone as well as a desk
A second brain your system can read
Prices, processes, supplier terms, job notes and voice notes, filed in one searchable place. The assistant and agents answer from it, so they work with your facts rather than guesses.
- Searchable notes, price book and processes
- Voice notes filed automatically
- Answers that show where they came from
A chief of staff and specialist agents
Ask for something in plain English and the chief of staff hands it to the right agent: drafting replies, chasing renewals, preparing quotes, planning posts. Each agent has clear limits, and everything customer-facing lands in one approvals queue.
- Specialists shaped around your business
- Scheduled daily checks, not just on request
- One queue: approve, edit or discard
A daily rhythm measured against your goals
Each morning a short brief of what matters today; each evening a summary of what moved and what didn't, against the goals you set. Reviewed with you regularly, and extended as the business grows.
- Morning brief and evening summary
- Progress against your own goals
- New agents added as you need them
How we work
Three frameworks holding the system up
One for how we engage, one for how the system is built to stay safe and in your control, one for how we roll it out without disrupting the business.
Engagement
We start from your week, your goals and your house rules. What the system may do on its own, and what always needs you, is agreed in writing before any agent runs.
- Your goals and rules captured first
- Written limits for every agent
- A named owner on your side
- Regular reviews together
Architecture
One database for your business, a second brain the AI reads from, agents with defined tools and limits, and an approvals queue in front of anything that leaves the building. If the AI service is unavailable, rules-based fallbacks keep the system working.
- Your data on UK servers we manage
- Approvals before anything is sent
- Every agent action logged
- Rules fallback if AI is down
Delivery
The home screen and brain come first, because they're useful on day one. Agents are switched on one at a time, each proving itself before the next.
- Useful from the first release
- One agent at a time
- Your team trained as each goes live
- Extended as the business grows
The process
Seven phases, blueprint to running
Durations are typical, not promises: how many systems we connect to and how much data comes across move them more than anything else. Discovery gives you a version of this table with your own numbers in it.
| Phase | Focus | What you get | Typical |
|---|---|---|---|
| 1. Discovery | Your week, goals, house rules and current tools | System blueprint, goals, agent limits | 1–2 weeks |
| 2. Design | Home screen, brain structure, the agent team | Clickable prototype, agent job descriptions | 1–2 weeks |
| 3. Build the core | OS home, second brain, accounts, approvals queue | Working system on a private link | 3–6 weeks |
| 4. Connect & migrate | Your enquiries, CRM, bookings, email and notes | Integration map, your data in place | Overlaps build |
| 5. Agents | Chief of staff and specialists, switched on one at a time | Each agent tested on your real work | 2–4 weeks |
| 6. Launch | Go live, train your team, daily briefs start | Live system, runbook, training | A few days |
| 7. Evolve | Reviews against your goals, new agents and features | Regular review, improvement plan | Ongoing |
What's inside
Five parts, one system
OS home
Today's numbers against your goals, what needs a decision, what the agents did, and what's next. Your business at a glance.
Second brain
Prices, processes, job notes and voice notes in one searchable place, so answers come from your facts. More on the AI brain →
Executive assistant
A morning brief, an evening summary against your goals, and a plain-English assistant you can ask anything about your business.
Agent team
A chief of staff that hands work to specialists: replies, quotes, renewals, marketing, admin. More on AI agents →
One approvals queue
Everything an agent prepares for a customer waits here. Approve, edit or discard. Nothing is sent behind your back.
Connect your own Claude
Optionally, let your own AI assistant work with your business data through a secure connector: your login, your permissions, every action logged.
Why Digenixa
An operating system that works for you, not around you
- Built around your business: your goals, your house rules, your words, not a template you bend to fit.
- You stay in control: agents prepare, you approve. Nothing customer-facing goes out on its own.
- It keeps working: if the AI service has a bad day, rules-based fallbacks keep the system running.
- Your data, your servers: hosted on UK servers we manage, and you own the code and the data.
- See one running: in a demo, we'll walk you through a working operating system rather than slides.

Every project is quoted individually, but the shape is always the same.
Discovery & blueprint
Fixed fee. You keep the blueprint, goals and agent limits whether or not you go ahead.
Build
A fixed price for the core system, then each agent priced on its own, so you add them as they prove their worth.
Run
Monthly hosting, monitoring and improvement, with AI usage costs shown plainly.
Changes are normal: you'll learn things partway through that you couldn't have known at the start. Each one gets a short written note on cost, time and knock-on effects, and nothing starts until you approve it.
Straight answers
What clients ask before they commit
Will it send things without me knowing?
No. Agents prepare drafts; anything going to a customer, supplier or social channel waits in your approvals queue until you approve it.
Do I have to replace the software I already use?
Usually not. Where a tool works, we connect to it and bring its information into your operating system rather than replacing it.
What if the AI gets something wrong?
It works from your own notes and rules, shows where its answers come from, and you approve what goes out. When it isn't sure, it asks rather than guesses.
What happens if the AI service is down?
The system keeps running. The home screen, brain and approvals don't depend on AI, and the agents fall back to rules-based behaviour until it's back.
Where is my data kept?
On UK servers we manage. You own the code and the data, and we'll show you exactly what's stored and who can see it.
Is this only for big businesses?
No. It's often most useful for owner-run businesses, where the owner is doing the joining-up in their head. We start small and grow it with you.
